Position Overview

The Illinois Department of Corrections is seeking an organized individual to fill the Office Administrator II position at Taylorville Correctional Center. This candidate will oversee the mailroom. The individual in this role will process all incoming and outgoing mail for the facility including legal mail. The chosen candidate will respond to individuals in custody and staff regarding mailroom issues and procedures. This position will also be responsible for monitoring postage for all outgoing mail as well as completing logs and reports associated with the mailroom. Essential Functions

  • Serves as working supervisor.
  • Directs distribution of incoming/outgoing institutional mail.
  • Responds to individuals in custody and staff regarding various mail issues and mailroom procedures, proofreading for appropriate punctuation, grammar, spelling, capitalization, and typographical errors.
  • Directs distribution of all incoming institutional mail.
  • Receives and distributes all privileged and legal correspondence, special letters, and packages.
  • Monitors postage used and advises supervisor and/or Business Administrator when purchase of postage is necessary.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school and two (2) years of office experience OR two (2) years of independent business experience.
  • Requires the ability to keyboard accurately 30 words per minute.

Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Preferred Qualifications

  • Prefers at least two (2) years supervisory experience in an office setting.
  • Prefers at least three (3) years of experience applying office procedures and programs.
  • Prefers at least three (3) years of experience operating manual and automated office equipment.
  • Prefers at least one (1) year of experience maintaining a file system.
  • Prefers at least one (1) year of experience working with spreadsheets and logs and using them towards reporting purposes.

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
